Privacy Policy
MR Holdings & Trade LLC, a Wyoming limited liability company doing business as ("d/b/a") QuoteFleet ("QuoteFleet," "we," "us," or "our"), respects your privacy. This Privacy Policy explains what personal information we collect, how we use and share it, and the choices and rights you have. It applies to our website, dashboard, and the QuoteFleet Service.
For personal data we process on behalf of our business customers (for example, the leads and quote-request details that end-customers submit through a customer's branded quote page), the customer is the controller and we act as processor under our Data Processing Addendum (DPA). This policy focuses on data for which we are the controller — such as account and billing data.
1. Information we collect
- Account & contact data — name, business name, email, phone, password (stored hashed), and your role or preferences.
- Billing data — subscription plan, transaction history, and billing contact. Card payments are processed by Stripe; we do not receive or store your full card number.
- Usage & analytics data — how you interact with the Service, device and browser type, IP address, log data, and timestamps, used to operate, secure, and improve the Service.
- Content you enter — the rates, rules, branding, and the leads and customer details you and your customers add through the Service. For content submitted by your end-customers, you are the controller and we process it under the DPA.
- Cookies & similar technologies — used for authentication, security, and basic analytics (see §8).
2. How we use information
- Provide, operate, maintain, and secure the Service;
- Set up accounts, authenticate users, and provide support;
- Process subscriptions and payments (via Stripe) and send billing and transactional messages;
- Monitor, troubleshoot, and improve performance, reliability, and features;
- Detect, prevent, and respond to fraud, abuse, and security incidents; and
- Comply with legal obligations and enforce our Terms.
We do not sell your personal information, and we do not use customers' rates or leads to train AI models.
3. Legal bases (GDPR)
Where the GDPR or UK GDPR applies, we rely on: contract (to provide the Service you signed up for); legitimate interests (to secure, improve, and support the Service, balanced against your rights); legal obligation (e.g. tax and accounting records); and consent where required (e.g. certain cookies or marketing), which you may withdraw at any time.
4. Sharing & sub-processors
We share personal information only as needed to run the Service, with:
- Stripe — payment processing. Card data goes to Stripe directly; we never see or store full card numbers.
- Hosting & infrastructure providers — cloud hosting, managed database, and edge/CDN services that run the platform.
- Email providers — to deliver transactional and operational messages.
- Professional advisors and authorities — where required by law, or to protect our rights, users, or the public.
A current description of our sub-processors and the safeguards that apply is available in our DPA. We do not sell personal information, and we do not use customer rates or leads to train AI models.
5. Data retention
We retain personal information for as long as your account is active and as needed to provide the Service, then for a limited period as required to meet legal, tax, accounting, security, and dispute-resolution needs. When no longer needed, data is deleted or anonymized. Retention and deletion for data we process on your behalf are described in the DPA.
6. Security
We use technical and organizational measures to protect personal information, including per-tenant data isolation at the database level, encryption in transit (TLS), access controls, and hashed passwords. Card payments are handled by Stripe and we do not store full card numbers. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to incidents. See our Security page for more.
7. International data transfers
We are based in the United States and may process information there and in other countries. Where we transfer personal data of EU/UK data subjects outside the EEA or UK, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses (SCCs) and the UK International Data Transfer Addendum, as set out in our DPA.
8. Cookies
We use cookies and similar technologies that are necessary for the Service to function (for example, to keep you signed in and to protect security), and a limited set for basic analytics. You can control cookies through your browser settings; disabling necessary cookies may affect how the Service works.
9. Your rights
Depending on where you live, you may have rights to access, correct, delete, or receive a portable copy of your personal information, to object to or restrict certain processing, and to opt out of the sale or sharing of personal information (we do not sell personal information). These include rights under the GDPR/UK GDPR and the CCPA/CPRA. We will not discriminate against you for exercising your rights.
To exercise a right, email legal@quotefleet.net. We may need to verify your identity. If your request concerns data we process on behalf of one of our business customers, we will refer you to that customer (the controller) or act on their documented instructions. You may also have the right to lodge a complaint with your local supervisory authority.
10. Children
The Service is intended for business use and is not directed to, or intended for, individuals under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by email or in-app) and update the "Last updated" date above. Your continued use of the Service after changes take effect means you accept the updated policy.
